What is a Corporate Team category?
Corporate Team is a category specially designed for companies who wish to field employee teams to participate in the TCS World 10K and raise funds for NGO(s) of their choice. Besides raising substantial amounts of funds for various causes, over the years, this has emerged as an excellent employee engagement and team bonding activity. Corporate teams on race day are hosted in a special tent for a differentiated team experience and enjoy priority Dream Run line up over the general categories.
What is the Corporate Tent?
On the race day a special tent is set up by the Event Promoter – Procam International Pvt. Ltd. in the holding area to exclusively host employees of the corporates participating through charity. These employees on race day are engaged in various fun activities pre and post completion of their race. These fun activities like games, Zumba, foot massages, art and craft activities, photo booths, team challenges, etc. ensure participants have a great differentiated experience at the TCS World event.
How many teams in total can be availed by a corporate?
There is no limit to the number of teams which can be availed by a corporate. However, the runners need to be grouped in team sizes of 10/20/30/50. Please note that the Add-On Team of 5 runners is only allowed on top of a base team of minimum 15 runners.

Is the donation made to aidbees for corporate team participation eligible to be considered as a part of CSR?
No, all donations made directly to aidbees are considered a donation for which an 80G tax exemption receipt and 10BE certificate is provided. Unless, the corporate is supporting aidbees through team participation and opts for the split cheque option then an 80G is issued for the applicable retention amount, and the remaining donation is considered as a part of CSR
How can a company ensure their contribution could still be considered as a part of CSR?

For companies who require their contribution to be compliant with their CSR policy, which mandates that contributions have to be made directly to projects or programmes, the company may choose to contribute via the split cheque option while making the contribution for taking a corporate team. Under this, the donation would be in two cheques, one in the name of aidbees which cannot be claimed as CSR and the other in the name of the NGO being supported. Both cheques would need to be submitted to a selected NGo.

Note:

As per the circular dated June 18, 2014 issued by the Ministry of Corporate Affairs, one off events such as marathon would not qualify as CSR expenditure for the purposes of Section 135 of Companies Act, 2013. The corporate donor shall be solely responsible and liable for compliance with provisions relating to corporate social responsibility under the Companies Act, 2013 and the rules made thereunder (including but not limited to Section 135 of Companies Act, 2013), in relation to the amounts being paid by the corporate donor to aidbees for participation in the TCS World 10K (including any amount paid as the event registration fees (used for purchase of bibs) or towards administrative expenses).


Why are the race fees being charged separately?
The race fee is a separate component which is charged based on the actual number of individual participants in the event. The same cannot be considered as a part of the donation made by you as it is a cost against a service provided by the event promoter, in this case the bib and other arrangements made for an individual to participate in the race. Therefore, it is charged separately by the event promoter – Procam International Pvt. Ltd. at the time of registration on a separate website
What is the runner registration process for a corporate team?

Once the decided contribution & philanthropy service charges are paid to respective NGo and aidbees. Corporate SPOC will be given a unique code specific to that corporate, a registration link and steps to follow.

The SPOC will need to share the details with its employees.

Employee runners then need to go on the runner registration portal and enter the unique code.

After that, they will be taken to a page to enter their details, upload a photograph, a copy of their Government issued ID card and a copy of a valid timing certificate (if applicable)

As they have already entered the unique code, the portal will not charge any race fee then and will allow them to complete their registration.

After that, their applications come to the corporate SPOC, who then approves and submits them to aidbees. aidbees further verifies the applications and submits them to Procam for approval

After 7 working days, if the application is accepted, the runner will receive a confirmation email from Procam.

The SPOC then needs to collate these confirmation letters and bring them to the Expo to collect the bibs.


Can I replace a runner as s/he has opted out / left the organisation?
No changes in team registrations will be possible once they are submitted.

Is it necessary for all the employees who participate to raise funds?
It is not necessary for all the employees who participate to raise funds. However, participants are encouraged to make their run more than a finish line/ just a race by supporting a cause and NGO, and raising funds. As a gratification, as and when the employee fundraiser crosses each level they gain the benefits and privileges of the level.
What are the ways one can raise funds?
Funds can be raised online on the fundraisers’ page. Please email us at bizdev@aidbees.org or tcsw10k@aidbees.org to request for bank details / reconfirm the one you have before initiating any transfer.
What benefits do corporate fundraisers get?

Employees who are raising funds through their individual fundraising pages are entitled to receive the privileges based on their fundraising level as mentioned here.

  • Event digital visibility –
  • In addition to the above, Corporate Teams contributing INR 5 lakh and more for their chosen NGO, will have a banner on the race route featuring their name and the NGO chosen.
  • Furthermore, 2 senior management representatives of companies contributing INR 10 lakh and above in the 2023 edition will be hosted in the Procam Marquee on race day. Top 10 contributing companies will be featured as a leader board on television during live telecast of the race.
  • Race Day photographs for top 2 fundraising members in a corporate team (provided captured by event’s official photographer). To be eligible for this, the team member must have raised a minimum of INR 50,000 for his/her chosen cause and such funds must have been submitted and reported to aidbees on or before 10th May 2023.
  • Top 2 contributing companies and top fundraising corporate (provided minimum funds raised by the company’s employees is INR 1 lakh), will be featured in the Event Docket published post-race day.
  • All other contributing companies will be mentioned in the said Docket.
  • Where employees of companies which to further fundraise for the NGO supported, standard service charges of 5.5% (3% being aidbees service charges and 2.5% payment gateway charges) will be levied on every donation made online (tcsw10k.aidbees.org) or offline (cheque/DD).

    The official philanthropy partner of the TCS World 10K Bengaluru- aidbees, kick-started the event formalities for the 2025 edition by opening up the NGO Registrations for the upcoming edition. TCSW 10K, Bengaluru is all set to return in 2025 with many more new aspects to look forward to. The tentative date for the NGO Meet Up & Philanthropy Workshop is December 2024.
